Is planning and scheduling your time worthwhile? Most definitely, without a plan you probably won't achieve what you want to and you will spend too much time trying to work out what needs to be done instead of getting it done.
Let me give you a personal example. I have 2 children who, like most kids, have after school activities. We started calling Mondays "Mad Mondays" because it went something like this. Pick up kids from school, drop one child off at sports training at 3.30pm, take the other child home to get half an hour of homework and a quick snack in before going to their sports training at 4.30pm. Race back to pick up first child at 5.30pm and then back to pick up second child at 6.30pm (although he wasn't usually finished until 7pm). Finally get home and everyone is hungry but there hasn't been time to prepare dinner. INSTANT CHAOS because there was no plan just running around! So to make life a little easier we came up with a plan which, of course, involved both parents being available to either pick up and drop off a child or prepare dinner for when everyone was home. Once we had a plan in place it was still busy but no longer chaotic.
A Plan Can Be As Simple Or As Complex As You Want It To Be
The 1st step is to think about what you want to achieve. Think about what you need to do and what your timeframe is. Once you have this basic information you can start to formulate a plan.
Here are a couple of tips to help you turn chaos into order!
Use a Project Management Tool
Using a project management tool like Asana to keep track of your tasks, schedule due dates, assign tasks to team members and add reminders to tasks is a great way to keep everything under control.
Create a Schedule Of Your Ideal Week
Think about what you would like your ideal day and ideal week to look like. How many hours do you have available, what are essential tasks that must be done? Draft up a schedule based on that ideal week. If you have regular work taks then decide how those tasks fit in to your schedule and add them.
A consistent schedule enables you to better plan your time and
be more efficient with it.
Be Prepared For The Unexpected
Don't forget to factor in some time for the unexpected... the urgent task that you weren't expecting or the phone call that took longer than expected. If you factor that extra time in, then you won't be completely thrown when the unexpected happens and your schedule won't be a disaster. When you know what to expect from your day, you can be better prepared and able to manage your time.
Remember Your Schedule Is Not Set In Stone
Once you have your plan and your schedule don't feel like you have to stick to it to the minute. Situations happen and you have to be able to be flexible at times. You might need to meet a client when you had project work scheduled. Be flexible enough to move things around, know that these things happen but won't happen every day.
Once you have a plan and a schedule in place, you'll be amazed at how much you will achieve. You will be less stressed, more organised and much better prepared. All of these things will allow you to be more efficient and productive.
